Agree the details before takeoff
Exchange the travel date, flight number, departure airport and destination airport code. For an overnight or long-distance journey, confirm the arrival date shown on the itinerary.
Pick a named public meeting point in the arrival terminal and a backup if either phone loses service. Ask whether the passenger needs help with bags or a step-free route.
Use flight tracking for context
Check the airline or airport’s official arrivals information for the terminal and updated status. A moving aircraft on a radar map does not confirm when the passenger will be ready outside.
Ask the traveller to message after reaching the public arrivals area. Avoid promising a fixed interval from touchdown: stands, queues, baggage and assistance can all affect the time.
Check the airport’s pickup arrangement
Use the airport’s official parking and pickup page to find where waiting and collection are permitted. Do not assume a departures drop-off lane also allows pickups. Check current charges, waiting restrictions and vehicle access before leaving.
For a taxi or booked driver, confirm the meeting instructions and who to contact if the flight changes. Keep the agreed meeting point unless both sides confirm a replacement.
Policies and laws can change. Confirm urgent or booking-specific questions using the airline or regulator's official source.
